Quick Tips: APN

Assessors parcel numbers (APN) for Contra Costa County are now ten digits. It is important to check your new and active listings to make sure that the APN number for any Contra Costa County property is a 10-digit number.

To obtain the property’s APN, go to the tax module using PC Access™, MLS/Xplorer™, or MLSWindows™. Make corrections to a listing’s APN using the Listings Maintenance module in PC Access™ or MLS/Xplorer™.

New MAX™ Numbers

Please note that new MAX™ system phone numbers are now in effect for the following areas:

Fremont 510-240-2025

4-Digit Year Built Field

Soon, the Year Built field will be a required 4-digit entry. You should now be entering the 4-digit year rather than a two-digit year format. This is necessary to simplify searching by year built.

Input Sheet Requirements

For ease of training and listing input during the MLS conversion period, the required fields for the MAX™ system were turned off. Now that everyone has had the opportunity to learn the MAX™ programs, the MLS Council has advised Moore Data to turn on the required fields. Required fields are identified on the input sheet with this symbol R.

Effective next month, you will have to input all data that is required and you will not have the ability to bypass a required field. This will insure that agents are adding all necessary listing information to help you do business.

Publish and E-Mail a Property Listing

MLS/Xplorer™ gives you the ability to "publish" a property listing to a Web page. Automatically e-mail the listing's Web page address to anyone with an Internet e-mail account. The recipient of the e-mail clicks the listing's Web address in the e-mail message, and their Web browser then opens to display the listing with your customized message. No need to worry about formatting the property listing, since publishing a Web page using MLS/Xplorer™ makes for a perfect presentation every time!

To publish a property listing and automatically send an e-mail notification from MLS/Xplorer™:

  1. Log on to MLS/Xplorer using www.maxmls.com. Conduct a property listing search (click the Search button on the Main Menu and select Search Properties from the menu). To view your search results, click the View tab and select a report format (e.g., Summ Photo).
  2. Once you see your search results on the View tab, click the List# on the listing you'd like to e-mail. A separate View window appears showing the report selections.
  3. Select a report format to view the listing (e.g., Client Report).
  4. Click the Publish Listing button. An e-mail form appears.
  5. Enter the e-mail address (e.g., joe.client@hometown.com) in the Send To field. Fill out the Email Comments field with the message you want to appear in the e-mail in (e.g., "Here is a listing I think would be perfect for you.")
  6. Since this listing will be made into a Web page, give it a custom title in the Web Page Title field (e.g., "Great Home for Steve!"). This title will appear at the top of the Web page. You must fill out this field to publish the listing. Fill out the Web Page Comments field with any text you want to appear at the bottom of the listing's custom Web page (e.g., "This property is in a great neighborhood close to the school you wanted and two blocks from a park. Call me at 555-1212 or e-mail me at joe.agent@hometown.com to set up a viewing. – Joe Agent.")

    Note: Don’t forget to include your return e-mail address in the message.

  7. Click the check box Show Map Link to include a Web page link to a map that shows the exact location of the listing. Check Show Routing Link to include directions to the property. And check Show Address to show the property's address on the routing ("directions") page.
  8. Click OK. After a few moments you'll see a confirmation message that the mail has been sent. Click OK on the confirmation message box.
  9. Click the Back button to return to the original View window.

The e-mail will contain a Web page address (URL) linking to the listing's Web page. The recipient should be able to click on the Web page address to automatically open their Web browser and display the listing. However, if the recipient's e-mail is not set up to automatically launch their browser, the recipient must copy and paste the URL (or type out the entire URL) into the address bar of their browser.
